What it does for a garage
- Answers service questions — what you offer, prices you have listed, timings, pick-up and drop — in the customer's language, any time of day.
- Books services into the slots you open, and hands the chat to your team when someone asks for a person.
- Keeps every photo a customer sends (and voice notes, documents and locations), shows it in Chats and tells your team.
- Sends an approval request: your mechanic attaches photos of the worn part, writes what needs doing and the estimate, and the customer gets one WhatsApp message with the photo and Approve / Decline buttons.
- Records the answer with the time and how it was given (button, a "yes" reply, the approval page, or your team noting a phone call), tells your team, and puts it in your CRM.
Availability and plan requirements
These WhatsApp workflows are available to connected pilot accounts. Public self-service WhatsApp onboarding is pending Meta App Review; a Growth or higher plan does not by itself mean your number is connected or approved. Confirm your account is ready before using the setup steps below. See WhatsApp setup and availability.
The included Naadham CRM workspace is available on Growth, Scale and Enterprise after workspace creation. Starter does not include it. See CRM setup, eligible activity and limitations.
Set it up
- Choose your business type. In AI receptionist, pick Vehicle service & repair (garage). Your agent gets a service advisor's script, and your CRM gets the workshop stages: New enquiry → Service booked → Vehicle received → Estimate sent → Work approved → Delivered.
- List your services and prices. Tick the services you offer, then add your price list in the Catalogue tab (service, price, vehicle type, duration). The agent quotes only what is listed and says a repair price is confirmed after inspection.
- Connect WhatsApp from the WhatsApp agent page and publish your assistant. See the WhatsApp setup guide.
- Set up the approval template (one click in Chats → Set up approval template). Meta must approve it before it can be used; review timing is controlled by Meta. It is only needed for customers who have not messaged you in the last 24 hours.
Sending photos and an estimate for approval
- Open WhatsApp agent → Chats and select the customer.
- Press Request approval. Fill in What needs approval (for example "Replace front brake pads"), the vehicle, any details, the estimate, and attach up to five photos.
- Press Send for approval. If the customer wrote to you in the last 24 hours, they receive the photos and the estimate with Approve / Decline buttons. If not, they receive your approved template with the same buttons and a View photos link to a private page.
- When they answer, the customer gets a confirmation, your team gets a notification, the chat shows the decision, and the request shows Approved or Declined.
If a customer approves over the phone instead, press Customer approved by phone on the request so the record stays complete. A request that is still waiting can be withdrawn.
Replying and sending photos yourself
Under every chat there is a reply box. Type a message and attach photos — for example "your bike is ready" with a picture. WhatsApp only allows free messages within 24 hours of the customer's last message; after that the box explains why it is closed and an approval request is the way to reach them.
What lands in your CRM
- The customer as a contact, with Status showing Approval pending, Work approved or Declined.
- A note for every request — what, the estimate, the details, the decision and when — with a link to each photo.
- The job's deal moved to Estimate sent and then Work approved, with the estimate as its amount.
Good to know
- Nothing is ever approved on the customer's behalf: a plain "yes" only counts when exactly one request is waiting for them; otherwise the agent asks them to tap the button on the right request.
- The approval page link is private to that request and cannot be guessed.
- Photos are kept in Naadham, so they stay available after WhatsApp's own links expire.
- WhatsApp is included from the Growth plan. See pricing.
Frequently asked questions
Can customers send me photos of the damage on WhatsApp?
Yes. Photos, voice notes, documents and locations are kept, shown in Chats and your team is notified. The customer gets an acknowledgement straight away, and a photo with a question is answered by the agent.
How do I get the customer's approval before replacing a part?
Open the chat, press Request approval, write the work and the estimate and attach photos. The customer gets Approve and Decline buttons; their answer is recorded with the time and sent to your team and CRM.
What if the customer hasn't messaged in the last 24 hours?
WhatsApp then only allows an approved template. Naadham creates an approval template on your account once; Meta reviews it, and it can be used after approval, subject to your connected account and WhatsApp messaging rules.
Does the AI approve anything by itself?
No. Only the customer's button, an unambiguous yes when exactly one request is waiting, the private approval page, or your team can record a decision.
